Overview

The Business Loan Assistant/Executive Assistant will provide administrative support and extraordinary service to the Bank President and other senior leaders. Interacts daily with a diverse group of external callers and visitors as well as with internal contacts at all levels of the organization.


Responsibilities

  • Provide overall administrative and client relationship support for Bank President and other team members, as needed.
  • Handle confidential and non-routine information, maintaining confidentiality.
  • Assist Bankers with renewal process.
  • Calendar management; schedule and coordinate meetings and travel; manage supplies and prepare managerial reports as requested.
  • Provide extraordinary service by responding timely to requests for information, researching discrepancies and resolving issues.
  • Escalate issues and problems and communicate with Bankers as appropriate.
  • Assist bankers in preparing and reviewing all documents necessary to onboard new client relationships and close new and renewed credit facilities.
  • Assist clients in making advances and pay downs on committed loan facilities and with completing routine treasury activity such as transfers and overdrafts.
  • Monitor loans and deposits, overdrafts, past due ticklers and collateral and documentation exceptions and communicate with bankers as appropriate.
  • Correspond with applicant(s), internal employees and outside vendors in obtaining all necessary documents to underwrite, process and close new loans as well as renewals or obtain expiring or lapsed documents, to include title policy, UCC searches, appraisal reports, environmental reports, etc.
  • Assist bankers in obtaining current collateral, financial and legal information and distribute collected information among applicable internal teams.
  • Assist in preparing loan closing documents for approved commercial loans including promissory note, deed of trust, business loan agreements, guarantee and other required closing documents to prepare for loan funding.
  • Prepare and complete legal files and other client files for storage and scanning.
  • Consistently maintain a high level of communication with Loan Services, Bankers, and staff; communicate deadline changes and potential conflicts.
  • Create and develop reports and visual presentations utilizing Microsoft Power Point or other software.
  • Assist with maintaining the Bank, including but not limited to ensuring we have sufficient stock toner, print postage, and coffee, set-up conference rooms for meetings, order team lunches, etc.
  • Interact with internal and external clients while providing extraordinary service.
  • Develop and maintain trusted, positive relationships with employees, clients, and vendors.
  • Represent the Bank in a highly professional manner.
  • Complete job assignments in a professional, timely and efficient manner; organize and prioritize work.
  • Maintain confidentiality; adhere to CrossFirst Bank policies and procedures; comply with laws, regulations, and industry best practices.
  • Reliable and predictable on-site attendance.

Qualifications

  • Proven performer in a fast-paced service oriented role ideally from a Commercial Banking and Commercial Real Estate environment with demonstrated knowledge and understanding of bank products, treasury services and operations.
  • Proven ability to review all loan documentation necessary to perfect the bank's security interest in collateral and to ensure the loan documentation is prepared in accordance with the loan approval from the Bank's Loan Committee.
  • Demonstrated knowledge and experience with office automation equipment, including phones, computers and related software, including expert proficiency with using Microsoft Word, Excel, PowerPoint and Outlook.
  • Exceptional organizational skills and demonstrated success in a multi-task environment with attention to detail and follow through.
  • Reputation for persistence, flexibility, dependability and teamwork. Must possess ability to remain calm in the face of changing priorities, work with a sense of urgency and communicate with co-workers and manager.
  • Bachelor's degree with exposure to Business Administration or related courses is preferred or equivalent work experience.
