Overview

As a key position within the Research Division for the Department of Otolaryngology - Head and Neck Surgery, this position will play a vital role in administering sponsored research funds, monitoring all expenditures and assisting investigators in proper use of sponsored research funds.

The Department currently consists of eighteen (18) fulltime ENT Surgeons practicing at several facilities in Hampton Roads. The majority of time and effort for this position is intended to be at offices located at Norfolk General Hospital.

Responsibilities

Grants Account Related Responsibilities

    Acts as a liaison with EVMS and study sponsors as requested by Primary Investigator (PI) and under the supervision of the Program Manager, to assist with budgetary aspects of sponsored study or grant submissions.
  • Works closely with PI, Program Manager, relevant EVMS Departments and research staff to generate a grant budget for study sponsor review.
  • Prepares Impact Statement for review and submission to the Hospital Research Coordination review committee.
  • Assist Program Manager with budget negotiations between study sponsor, EVMS and PI.
  • Coordinates with research staff completing contract, regulatory, IRB, SNGH HRC review, training and other tasks culminating in Site Initiation of sponsored study.
  • Coordinates with Research staff completing IRB reports/amendments with regard to physician-initiated research and/or sponsored research as needed/required.
  • Sets up study tasks in Clinical Conductor.
  • Once study is initiated or grant is awarded, reviews all study balances at lest once a month to ensure there are adequate funds for study expenses, especially salary and fringe.
  • When applicable, manages amendments to study contracts and budgets when changes occur in study.
  • Regularly reviews the balances in the internally designated accounts with Department Administrator to ensure expenditures charged to these accounts are appropriate expenses.
  • Processes all requisitions for the Research Division.
  • Reviews all invoices indicated in Clinical Conductor before the invoice is sent.
  • Reviews monthly EVMS accounts, with Department Administrator, to ensure appropriate research salary support.

Departmental Financial/Budget Responsibilities

  • Reviews all clinical trial financial reports on a monthly basis.
  • Reviews the Accounts Receivable Statistics on a monthly basis.
  • Requests all interdepartmental/division transfers (IDT's) and cash journal entries.
Qualifications

Bachelors' degree. Master's degree with related experience preferred. Experience with clinical trial budgets, clinical trial financial management, clinical trial agreements and/or clinical trial management systems preferred.

Ability to read, analyze and interpret financial reports and legal documents.
