Description

The Order Documentation Coordinator I is responsible for overseeing the development and distribution of all product documentation including Certificates of Analysis (COAs), Certificates of Origin (COOs) and safety data sheets, and ensuring the on-time shipment of all orders. They are also responsible for greeting and directing guests to the appropriate staff member(s) upon entering the reception area.

Responsibilities

  • Greets guests upon arrival to the reception area and directs them to the appropriate staff member(s)
  • Prints documentation for sales orders. This includes, but is not limited to: Pick tickets, Certificate of Analysis (COA), Certificate of Origins (COO), safety data sheets and safety labels
  • Runs tariff code reports for all international orders for shipping department
  • Scans COAs, SDSs and all related shipping documents for international orders
  • Assigns country of origin for unique lot numbers and runs daily report for country of origin status
  • Coordinates documentation for VIP customer orders
  • Runs EOD (end of day) report to ensure all orders are shipped within appropriate timeframe
  • Acts as back up for scanning production releases, assisting with commercial invoices, pick tickets, and other Supply Chain documentation
  • Acts as back up for scanning and linking closed PSOs and production tasks
  • Performs other Supply Chain duties and responsibilities as needed
Requirements
  • Associates Degree in Business Administration or related field
  • 0-3 years of experience in documentation management. Experience in manufacturing or chemical manufacturing environment preferred
  • Proficient in Microsoft Office and Adobe
  • Excellent communication, interpersonal and organizational skills with the ability to manage multiple priorities and a strong attention to detail
