POSITION OVERVIEW
We have an opening for a Program Support Specialist in our Alternative Sanctions program! The Program Support Specialist (PSSII) provides clerical and administrative support for the Alternative Sanction program. The Alternative Sanctions programs are multi-agency programs and coordinate their efforts with those of the criminal justice system (including the courts, jail, private attorneys, Department of Corrections, State District Attorney’s office and the Public Defenders office) and community case management and treatment agencies, therefore, this position involves communicating across multiple systems and agencies. The Program Support is expected to perform across a full range of responsibilities including receptionist duties, scheduling, written correspondence and reports, file system maintenance, data entry, processing program referrals, and performing administrative responsibilities of a clerical nature. The Program Support is a strong team player and promotes a team approach with colleagues and efforts throughout the Alternative Sanction Program. In addition, the PSSII will provide back-up coverage to other Program Support Specialists during vacation, illness, or other absences. This position works closely with all members of the Alternative Sanctions Program Team, responsible to the Alternative Sanctions Team Leader, with oversight by the Clinical Manager of Outpatient Services. The position may require some evening hours to provide support to staff and consumers. The Program Support may assume other duties as assigned, such as involvement in one or more JMHC or community committees.

FOLLOWING IS ADDITIONAL INFORMATION:
The Program Support Specialist works closely with all members of the Alternative Sanctions Program Team, responsible to the Alternative Sanctions Team Leader, with oversight by the Clinical Team Manager of Outpatient Services. 
QUALIFICATIONS
ESSENTIAL
  • Four years of relevant office experience.
  • Experience with Macintosh computer systems, including word processing, spreadsheets, graphics, and databases.
  • Strong communication and organizational skills.
  • Strong commitment to improving cultural diversity as demonstrated by valuing difference/diversity; recognizing limitations in personal competence and expertise; and having concrete ideas about how to improve.
  • Accuracy, thoroughness, and attention to detail.
  • Demonstrated knowledge of and experience in handling confidential information.
  • Demonstrated characteristics of flexibility, problem solving, setting priorities, handling large and diverse amounts of work, multi-tasking including the ability to work well with a wide variety of people, both independently and with a team.
  • Ability to work independently with minimal supervision.
Working Conditions
The position may require some evening hours to provide support to staff and consumers.

PREFERRED
  • Fluency in Spanish or one of the Southeast Asian dialects in addition to English.
  • Experience working with diverse cultural groups and in culturally diverse work settings.
  • Experience working in a human service setting.
  • Knowledge of the Criminal Court System.
RESPONSIBILITIES:
A.  Records & Documentation
  1. Takes initial referral information, schedules consumer interviews, and sets up files in preparation of clinical interviews.
  2. Enters consumer referral information into database(s).
  3. Obtains arrest records, criminal complaints, and probation records.
  4. Adheres to confidentiality guidelines.
  5. Reviews arrest histories to determine what further record searches or requests are needed based on predetermined criteria.
  6. Maintain appropriate follow up procedures to ensure that all required documents are obtained within the required time restraints.
  7. Maintains regular communication with clinical case managers and for purposes of managing referrals in accordance with scheduling priorities and waiting lists.
B.  Quality Assurance and Administration
  1. Designs and maintain forms as approved or requested.
  2. Maintains consumer and programmatic database(s)
  3. Provides general program information upon request.
  4. Schedules interview appointments within required time frames.
  5. Schedule intakes for OWI Treatment Court Program Tracking, Drug Court Program.
  6. Track, coordinate and submit billing for DOC payments for OWI Assessments.
C.  Programmatic Support
  1. Provide receptionist functions.
  2. Screen and forward staff phone calls.
  3. Type correspondence.
  4. Set up new consumer charts.
  5. Copy consumer file information and mail or deliver as requested.
  6. Participate in meetings and committee as directed.
  7. Assist with projects as requested.
  8. Order and maintain office supplies.
  9. Process and distribute mail.
  10. File maintenance.
  11. Other duties as assigned.

Generous Paid Time Off! Prorated based on hire date and FTE, new staff accrue 5 weeks during first year, and accrue 6 weeks beginning on first year anniversary.
